Managing your work

Tasks

Assign follow-ups, set due dates, link records, and complete work without losing context.

On this page

The Tasks page is the workspace’s follow-up list, not just your personal assignments. Use it to make the next action clear: what needs doing, who owns it, when it is due, and which customer or opportunity it concerns.

Create and assign a task#

  1. Open Tasks and choose New task, or create one from a contact or deal’s Tasks tab.
  2. Enter an actionable task name. The name is required.
  3. Review the assignment chip. New tasks start Assigned to you; choose another workspace member or leave the task Unassigned.
  4. Choose Due date if needed, add relevant records, and select Save.

You can save with Command+Enter on Mac or Ctrl+Enter on other platforms. Closing or cancelling the dialog does not save your draft. Read-only task access prevents creating, changing, or completing tasks.

Connect the work to a record#

Choose Add record to link contacts or deals. One task can relate to several records, and linked tasks also appear on those records’ Tasks tabs. Tasks can also exist without a linked record.

Type @ in the task name to mention a member, contact, or deal. Record mentions become task links when you save. A member mention is not the same as an assignment: always review the assignment chip to confirm who owns the work.

Understand due-date groups#

Open tasks are grouped as Overdue, Today, Upcoming, or No due date. Finished work appears under Completed. Due dates use the browser’s calendar day, not your profile timezone, so check your device date when a task appears in an unexpected group.

Click a task’s completion circle to mark it done; click again to reopen it. Opening the row edits the task and does not complete it.

Review and edit the list#

Search by task text, assignee, or linked record. Use filters for a particular workload. The Due date, Record, and Assigned to cells can be edited directly when permitted. Open the row for the full editor.

View settings lets you add custom columns and turn Show completed tasks off. The four built-in columns stay visible. If finished work disappears, check that setting before searching elsewhere.

Delete only when necessary#

In the task editor, open More actions and choose Delete. Confirming removes the task for everyone and cannot be undone. Complete a finished task instead when you want to retain its history.
