Email and calendar

Connect Google, control shared email visibility, and understand mailbox and sequence sending.

Use Google for mailbox history and meetings, or forwarding to log deliberate email copies. Personal sharing controls and workspace contact-creation rules are separate. Neither connection gives teammates permission to send as you.

Connect Google#

  1. Open Settings → Email and calendar accounts.
  2. Choose the history range if shown, then Connect Google account and complete Google's authorization.
  3. Check the account status and message count. Initial synchronization takes time; Syncing is different from In sync.

Review a customer's Emails and Meetings tabs. Mail matches the contact's address on the thread; calendar events also appear in Home. An empty day does not mean the account is disconnected.

Choose email visibility#

Open your Google row's Manage menu and set What your team can see:

  • Participants and timestamps: who and when, without subjects.
  • Subject lines too: subjects, without opening bodies.
  • Let the team open messages: message contents too.

This applies across the team for that mailbox. Internal-only threads and protected or blocked-address rules can still hide messages. Google bodies are fetched when opened rather than retained as forwarded copies.

Log a forwarded copy#

In Forwarding address, choose Enable my imports and Copy address. Confirm Ready to receive, then manually forward received mail or BCC outgoing mail from the Ariyel login address shown. Other aliases are not accepted, and the sending server must pass verification.

The address is shared by the workspace, but enablement, sharing, and import history are personal. Check Recent imports; Ready to receive does not prove a message was imported. Use Manage to review sharing.

Forwarded bodies and attachments are retained until deleted. Disabling imports keeps that history. Forwarding needs no Google connection, but is not an outbound mailbox and does not capture future replies or calendar events automatically.

Control contact creation#

Under Settings → Email and calendar → Record creation, All contacts includes mail and meeting participants; Selective includes people your team emailed, replied to, or met with; None disables automatic creation. Deliberate forwarded copies can create eligible contacts in All or Selective. Internal, automated, and blocked addresses remain excluded.

Send and reconnect#

Compose and replies require your own connected Google mailbox. Sequences instead use a verified sending domain and connected reply mailbox. Sharing another member's messages grants neither sending ability.

For a revoked account, choose Reconnect with the same Google address. Disconnecting does not delete created records, but can hold sequence recipients that depend on that sender.
