Reports

Build reports from contacts and deals with counts, charts, text, and clearly defined funnels.

Reports combine live record summaries with explanatory text on a configurable canvas. Start with the question you want to answer, then choose a source, record scope, and visualization for each element. A report is not a source of new records or a replacement for checking the underlying data.

Create and arrange a report#

  1. Open Reports and choose New report.
  2. Open the report and add an element from Elements: Number, Chart, Funnel, Text, or Divider.
  3. Select the element to configure it. Use meaningful titles, text, and dividers to explain the question and separate sections.
  4. Arrange and resize the elements on the canvas so related measures are easy to compare.

Choose the right records#

Data elements use Contacts or Deals, not tasks, fulfillment, course activity, or sequence sends. Choose All Records or Specific Records; the latter uses conditions to select matching records rather than a hand-picked list.

Changing a data source resets that element's filters and source-dependent field choices. Recheck the configuration afterward. Each element has its own scope, so two numbers beside each other need not describe the same group.

Use numbers and charts#

Number counts records. Chart offers Bar and Pie: choose a category field and either record counts or a field summary. Numeric fields support Sum, Average, Median, Min, and Max; Distinct counts unique non-empty values. Attachment and button fields cannot be charted.

Check the empty-record option when comparing totals. Missing category values and empty summary values can change what a chart includes; a chart's visible total is not automatically the entire workspace.

Choose a funnel calculation#

A funnel uses Stage, Status, or a custom single-select field, with record counts or a numeric sum. Choose Funnel, Funnel Metric, or Funnel Steps as its visualization.

  • Current stage counts each record only where it is now. Percentages are shares of the whole filtered group, including records in empty or excluded stages.
  • Historical progression counts records that reached or passed selected stages. Skipped stages count, and moving backward does not erase progress. End at one outcome, such as Won, rather than treating Won and Lost as consecutive steps.

Historical progression cannot recover changes made before recorded history existed. Sums use current values, not historical deal amounts. Name the calculation in your report so readers do not mistake today's distribution for conversion over time.
